A sponsor can fund an impressive mobile dental clinic while the receiving organization still lacks the budget or people to operate it. For a Ghana project, agree the operating responsibilities before you choose the vehicle. A proposal that connects the equipment purchase to a named service team, a site programme and a running-cost plan is easier for both the sponsor and the operator to approve.
This guide applies when a company, charity or other sponsor finances a clinic that another organization will run. It does not assume a particular funding programme, local approval route or tax treatment. Those arrangements must be confirmed by the parties involved. The buying decision starts with who will use the unit and what they can sustain after handover.
Name the owner and the operator
Write down who will own the vehicle, who will deploy it and who can approve changes to its specification. Identify the party responsible for insurance, maintenance, storage and the purchase of clinical consumables. If the unit will move between several partners, define how bookings, custody and fault reporting are handled. These decisions prevent the vehicle from becoming an asset that everyone supports in principle but nobody manages in practice.
The sponsor may want a visible purchase milestone. The operator needs a functioning service. Connect the two through a documented handover plan: receiving organization, designated staff, equipment inventory, operating instructions and acceptance checks. Do not substitute a launch event for that review.
Build the service programme before the equipment list
Ask the operating team to define the proposed patient groups, treatments, number of practitioners and visit schedule. Confirm the places where the vehicle can park, how patients will reach it and whether electricity, clean water and waste services are available. Mark information that still needs a site visit rather than treating it as confirmed.
A one-chair and a multi-chair layout create different staffing and support demands. Additional equipment also changes the electricity, water, storage and maintenance requirements. Request only options that match the service the team intends to deliver; a larger specification is not automatically a more useful donation.
Separate the capital budget from the service budget
- Capital purchase: base vehicle, conversion, dental equipment and agreed initial accessories.
- Deployment: transport, receiving arrangements, site preparation and staff orientation where applicable.
- Recurring operation: personnel, consumables, fuel, utilities, servicing, repairs and approved waste arrangements.
- Continuity: a plan for cancellations, equipment downtime and alternative patient arrangements.
Use figures provided by the operator and the relevant suppliers. Ask who funds each recurring item and for how long. A sponsored purchase may be feasible even when the first proposal is too ambitious: reducing the initial scope or staging additions can allow the team to operate the unit it receives. Make those tradeoffs explicit rather than concealing them inside a single total.
Ask for a quotation that both parties can review
The mobile dental clinic product page provides a starting point for choosing the format. Request a dimensioned layout, an itemized equipment list and a clear division between supplier-provided systems and items the operator must supply. Ask for the proposed testing and training scope, manuals and support arrangements to be written into the offer. Confirm delivery timing and any stated standards for the particular configuration before committing.
Have the clinical team review the treatment space and workflow, and have a technical representative review service access and utilities. If the sponsor funds the asset while the operator funds consumables and maintenance, ensure both budgets refer to the same equipment models and assumptions.
Turn funding interest into a specific proposal
Send the sponsor and operator roles, proposed sites, clinical scope and staffing plan through our contact form. Mention “Ghana sponsor-funded mobile dental clinic” and request a proposal with separate vehicle, equipment and handover scope. A defined operating plan gives the funding team a clearer reason to approve the purchase and gives the receiving organization a unit it is prepared to use.
