Buying a mobile dental clinic involves more than choosing a vehicle and a dental chair. Before approving a supplier’s final handover, the buyer needs evidence that the delivered unit matches the agreed clinical workflow, equipment list and operating site. This checklist helps procurement teams and clinical leads turn those expectations into acceptance tests.
Agree on the acceptance baseline before production
Attach a signed schedule to the purchase order: vehicle or trailer identity, floor plan revision, equipment schedule, utility interface list, training scope and documents to be delivered. Mark each item as included, buyer supplied or excluded. Ask the supplier to identify substitutions in writing before fitting them. This creates a clear reference for the final inspection and keeps optional equipment from being mistaken for standard supply.
Inspect the treatment workflow in the actual cabin
Walk through a typical patient visit with a dentist and assistant. Check entry, patient seating, chair access, instrument reach, hand hygiene, clean storage, used instrument handling and exit. Open every cabinet and service hatch. Confirm that the team can move safely around the chair while the doors are open and that routine maintenance points remain accessible. Record any obstruction against the approved plan with photos.
Test power, water and waste as a connected system
Request a live demonstration using the planned site power connection or approved onboard arrangement. Have the supplier identify each supply, protective device and isolation point in the handover documents. Run the dental chair, suction, lighting and other contracted loads in the combinations the clinic will actually use. Verify water filling, pressure, drainage and waste collection without leaks or cross connections. Capacity, voltage and connector details must come from the project specification and the destination site’s requirements; do not assume another project’s figures apply.
Check equipment and documentation item by item
Match model and serial numbers to the signed equipment schedule. Ask for operating manuals, maintenance instructions, warranty contacts and any calibration or installation records promised in the contract. Demonstrate each installed dental device with the clinical team present. Where equipment or consumables are supplied by the buyer, test their physical and utility interfaces before accepting the unit.
Plan infection prevention with the clinical lead
Inspect surfaces, handwashing access, clean and used item routes, sharps placement and waste storage against the buyer’s infection prevention plan. Confirm how instruments will be reprocessed: onboard, at a fixed clinic or through another agreed service. The vehicle layout should support that process, but the clinical operator must approve the workflow and confirm local healthcare requirements.
Document the handover and training
Use a punch list with an owner, evidence and closure date for each finding. Separate items that prevent clinical use from minor cosmetic work. Ask the supplier to demonstrate shutdown, safe travel preparation, filling and emptying routines, routine inspection and fault reporting. Record who attended training and which manuals were received. Release final acceptance only against the milestones stated in the purchase agreement.
